This innovation project aims to automate the preparation process of official internship letters for higher education students. The system, named I-GenLetter (Automated Internship Letter Generator), allows students to automatically generate various official letters, including the Internship Placement Application Letter (Permission Letter), the Internship Reporting Letter (Confirmation Letter), and the Internship Placement Rejection Letter (Rejection Letter). Through the integration of Google Workspace tools, such as Google Forms, Google Docs, Google Sheet, Google Apps Script, Google Mail, and Google Drive, students only need to fill in information such as their name, student ID number, Malaysian identification card (IC) number, and company details. The system will then automatically generate an official letter in PDF format, send it directly to the student’s email, and store a digital copy in Google Drive for reference. This innovation helps to streamline the internship documentation process, reduce manual errors, and support the digitalization and automation initiatives of academic services. The system is cost-effective, user-friendly, and scalable for generating various types of institutional official letters.
