Higher Education Institutions (HEIs) continue to face challenges in monitoring students’ graduation requirements due to manual verification processes, fragmented academic records, and limited access to real-time information. These issues often result in delayed interventions, administrative inefficiencies, increased workload for academic staff, and students being unaware of unmet graduation requirements until their final semester. To address these challenges, the **Graduate Requirement Tracker (GRT)** was developed as an innovative web-based academic monitoring system that digitalises and automates the tracking of graduation requirements. Developed using the ADDIE instructional design model, GRT integrates student academic records into a centralized platform that provides real-time monitoring of programme completion status, automatic verification of graduation requirements, and interactive dashboards for students, lecturers, academic advisors, and administrators. The system enables users to monitor completed credits, outstanding programme requirements, academic progress, and graduation eligibility while supporting early identification of students who require academic intervention. In addition, GRT incorporates intelligent analytical features such as progress tracking, automated reporting, warning notifications, and predictive academic insights to improve decision-making and reduce human error. The implementation of GRT significantly improves administrative efficiency by reducing manual checking processes, minimizing documentation errors, and shortening the time required for graduation audits. It also enhances transparency, accountability, and communication between students and academic management while empowering students to take greater ownership of their academic planning. The system aligns with the Higher Education Digital Transformation agenda and supports the adoption of Industry 4.0 technologies in academic administration. GRT is designed with high scalability and adaptability, allowing implementation across various academic programmes and higher education institutions with minimal customization. By transforming conventional graduation monitoring into a smart, data-driven, and automated ecosystem, GRT contributes to improved institutional productivity, better student success management, enhanced graduation readiness, and sustainable quality assurance practices. The innovation demonstrates strong commercialisation and replication potential, making it a practical digital solution for modern higher education institutions seeking to optimise academic governance and improve graduate outcomes.
